Best workflow automation software for small business: seven tools sorted by what each one counts

Seven workflow automation tools sorted by what each counts as usage, what its free tier allows and which small business each suits, read from vendor pages.

Last materially reviewed 2026-10-30

Quick answerNo tool is best for every small business, so pick by what each one counts. Zapier and Pabbly Connect count action steps, Make counts credits for each module action including reads, n8n counts whole workflow runs, and Albato and Integrately have their own step rules. Match that unit to your busiest workflow and your apps.
Pabbly Connect is likely to fit when

✓ Small businesses whose apps are on Pabbly Connect's list and whose volume makes per-task billing costly

✓ Teams that run many simple app-to-app workflows with one to three action steps

✓ Owners who want a free tier to count a real workflow before paying

✓ Single-business accounts that can live with a forum-first support model

Important limitations

— Teams that need an app only Zapier or Make lists

— Agencies running automations for many client businesses from one account

— Businesses that want the vendor to build or debug their workflows

— Teams that want long branching workflows billed per run or a self-hosted tool

Best workflow automation software for small business: sort by what each tool counts

A small business usually pays for usage, and each tool defines usage differently. One order that triggers a three-step workflow is three tasks on one tool, four credits on another and a single run on a third. That is why a headline plan amount says little until you know what your own workflows count.

This shortlist reads seven vendors' pricing and help pages as of October 30, 2026 and leaves amounts to those pages. Pabbly Connect is one of the seven and is the lead option here, so its limits are stated as plainly as the others'.

Shortlist: seven options and the unit each counts

  • Zapier: counts each successful action step as a task. Triggers, Filter, Paths and Formatter are free. The free plan lists 100 tasks and two-step Zaps, and the pricing page cites more than 9,000 apps.
  • Make: counts credits, mostly one per module action, including reading data from an app or webhook. Routers and error handlers are free. The free plan lists 1,000 credits, and the pricing page cites 3,500+ apps.
  • n8n: counts whole workflow executions however many steps they hold. Hosted Starter and Pro plans list monthly executions, Business is self-hosted only and the pricing page points to a self-hosted Community Edition on GitHub. The integrations page headlines 2,000+.
  • Pabbly Connect: counts action steps, with triggers and built-in tools free. It lists a free tier of 100 tasks, Standard plans of 10,000 tasks and an Unlimited plan with fair use. It headlines 2,000+ integrations.
  • Albato: counts transactions, meaning each step that runs after the trigger. Its free plan lists 5 active automations with 2 steps each, and it cites 1,000+ apps.
  • IFTTT: counts credits that cover applet runs, MCP usage and AI features. The free plan lists 1,000 credits a month, and the page cites 1,000+ services.
  • Integrately: counts successful actions, conditions, data modifications and searches as tasks, with triggers free. The free plan lists 100 tasks, and the page cites 1500+ apps.

Criteria that decide the fit

  • Your apps: confirm the triggers and actions you need exist on the tool's own list before you compare anything else.
  • Steps per workflow: long workflows favor a per-run meter such as n8n's, while one-step workflows suit per-task meters.
  • Run frequency: n8n's pricing page estimates a workflow scheduled every 5 minutes at about 8,600 to 8,900 executions a month. Zapier says polling never uses tasks, and Pabbly says it does not charge for checks.
  • Support level: Zapier lists live chat from its Professional 2,000-task tier. Pabbly's terms make its forum the primary channel. n8n's hosted plans start with forum support.
  • Team and agency use: Pabbly's Unlimited terms require one account per client business. Zapier's Team plan lists 25 users.

Which jobs stay cheap on a flat or per-run meter

Some jobs cost almost nothing on a flat or per-run tool and a lot on a per-task tool. Long chains, such as a form that updates a CRM, a sheet, a calendar and a chat channel, multiply the count on a per-step meter but stay at one run on n8n. Many small events with one or two steps, such as order alerts at high volume, suit Pabbly Connect's Unlimited plan, subject to its fair-use terms.

Polling jobs flip the picture. A workflow that checks an app every few minutes is free to wait on Zapier and Pabbly, while n8n's pricing page counts every run of a scheduled workflow as an execution. Run the numbers for your busiest workflow with the task counting steps before you pick.

Trade-offs when you switch from a per-task tool

  • Rebuild effort: each tool has its own builder and app actions, so plan time to recreate workflows and check each one against the old results.
  • App gaps: a shorter app list can force a workaround such as a webhook step. Pabbly Connect vs Zapier shows the apps gap and what stays the same.
  • Support and fair use: low prices can come with forum-first support, a monthly task expiry or a one-business rule. The Pabbly Connect review lists each.
  • Commitment: longer terms and one-time plans lower the running cost but tie you to one tool, and the refund wording differs by vendor.

When to stay put or start on a free tier

Stay on your current tool when your task count is low, your workflows depend on apps it alone lists, or the time to rebuild exceeds a year of savings. Start on a free tier when you want a count before committing: Zapier, Pabbly and Integrately list 100 tasks, Make 1,000 credits, IFTTT 1,000 credits, Albato 5 active automations, and n8n's pricing page points to its self-hosted Community Edition for teams that run their own server.

If a high-volume workflow is your concern, price Pabbly Connect's Unlimited and yearly terms against the same count on your current tool.
