Pabbly Connect vs Zapier: how each counts tasks, which plans fit high volume and who should pick which

Pabbly Connect vs Zapier from each vendor's pages: how each counts tasks, which plan suits high volume, how apps and support differ and who should pick which.

Last materially reviewed 2026-10-30

Quick answerOn a plain app-to-app workflow, both vendors' pages count action steps and leave triggers, filters and formatters free, so the task count matches. The difference is in plans, apps and support: Pabbly Connect lists an Unlimited plan and about 2,000 integrations, while Zapier lists more than 9,000 apps and live chat on higher tiers.
Pabbly Connect is likely to fit when

✓ Small businesses whose apps are on Pabbly Connect's list and whose volume makes per-task billing costly

✓ Teams that run many simple app-to-app workflows with one to three action steps

✓ Owners who want a free tier to count a real workflow before paying

✓ Single-business accounts that can live with a forum-first support model

Important limitations

— Teams that need an app only Zapier or Make lists

— Agencies running automations for many client businesses from one account

— Businesses that want the vendor to build or debug their workflows

— Teams that want long branching workflows billed per run or a self-hosted tool

Pabbly Connect vs Zapier: the main difference is limits, not task rules

The first question is whether the counting rules differ. Zapier's help article, updated October 28, 2026, says a task is a successful action and that triggers, Filter, Paths, Formatter, Delay and Looping steps do not count. Pabbly's product page says an action step is a task and that triggers and internal tools are free. On the same plain workflow the two agree.

What differs is the plan around the rule: Pabbly Connect lists an Unlimited plan and a 10,000-task Standard plan, while Zapier sizes plans by task tiers and can move you to pay-per-task billing when you pass a limit. Apps and support differ too. Both pages were read on October 30, 2026.

Side by side: what each vendor's pages state

  • Counted: Pabbly Connect counts action steps on external apps. Zapier counts each successful action step.
  • Free steps: both list triggers and filters as free. Zapier also lists Paths, Formatter, Delay, Looping, Storage and testing in the editor. Pabbly lists routers, Iterator, Schedule, parsers and formatters.
  • Failed steps: Zapier says steps that error or halt do not count. Pabbly's pages read here give no rule for failed steps, so ask before relying on that.
  • Free plan: Pabbly lists 100 tasks a month. Zapier lists 100 tasks a month, limited to two-step Zaps, with multi-step Zaps starting on Professional.
  • Top volume: Pabbly lists Unlimited tasks with a fair-use rule. Zapier lists task tiers from 100 up to 2 million and a custom limit, with higher tiers carrying a lower cost per task.
  • Over the limit: Zapier holds new runs or bills extra tasks at a higher rate when pay-per-task billing is on. Pabbly's terms say subscription tasks expire after 30 days.
  • Apps: Pabbly headlines 2,000+ integrations and its directory lists about 1,980. Zapier's pricing page cites more than 9,000 apps.
  • Support: Pabbly's terms make the community forum the primary channel, with email, live chat and a contact form, and a 10-hour response goal. Zapier lists email and live chat support on Professional, with live chat from its 2,000-task tier, priority support on Team and screen sharing on Enterprise.

A worked example: the same three-step workflow

Take a workflow that starts when a form response arrives, adds a row to a spreadsheet, creates a CRM contact and posts a team message. That is one trigger and three action steps.

On Pabbly Connect each run uses three tasks. On Zapier each successful run also uses three tasks. At 1,000 runs a month either tool counts 3,000 tasks. Adding a filter or a text formatter changes neither count. What changes the Zapier count is a feature with its own rate: its article lists AI by Zapier by model tier, Code by Zapier beyond the standard runtime, Lead Router at 5 tasks per lead and MCP at 2 tasks per tool call. Then read each pricing page at the tier that covers 3,000 tasks, and compare Unlimited and annual terms if your volume is higher.

What the vendor's cost claims leave out

  • Pabbly's page says Zapier uses 2 tasks where Pabbly uses 1 for the same workflow, without listing the steps. Zapier's article says triggers never use tasks, so check which steps your own workflow has.
  • The page's calculator sets Pabbly's one-time plan against Zapier's subscription plans, with a note that rival amounts are what you would pay over five years. That compares a single payment with a running bill.
  • The page quotes a customer who moved from Zapier and says only a part of their tasks is billable. That is one customer's statement chosen by the vendor, so read it as the vendor's own claim, not as a typical result.
  • Zapier's pricing page says the cost per task falls as the task tier rises, so compare both tools at your own tier, not at a headline one.

Which to choose: use cases for each tool

  • Pick Zapier when you need an app that Pabbly's directory lacks, or want email and live chat support listed as a plan feature rather than a forum-first model. Its task count on simple workflows matches Pabbly's.
  • Pick Pabbly Connect when your apps are on its list, your volume is high and a flat Unlimited plan or a yearly term would lower the bill. Accept forum-first support and the one-business fair-use rule.
  • Pick neither yet when a free tier covers your volume. Both offer 100 tasks a month, enough to run one real workflow.
  • Consider n8n when your workflows run long, since it counts a whole run, or Make for its larger app list: the best workflow automation software for small business sorts seven tools by what each counts.

Questions to ask before you switch

  • Are your five most important apps in Pabbly's directory, with the triggers and actions you need?
  • How many action steps does your busiest workflow have, and how many runs a month? Use the Zapier task count steps and the Pabbly break-even test.
  • Does your team rely on live chat? Pabbly's terms make the forum the primary channel.
  • Do you serve several clients from one account? Pabbly's Unlimited terms require a separate account for each client business.
