How does Zapier count tasks? One per successful action step
Zapier's help article, updated October 28, 2026, defines a task as any successful action that runs in Zapier. Only successful actions count. A Zap's first step is always a trigger, and triggers never use tasks, even when they poll an app for new data every few minutes.
So the count for a run is the number of action steps that finished successfully. Zapier's own example: a Zap that uploads an email attachment to Dropbox and then sends a Slack message uses two tasks per run, so ten runs use 20 tasks.
Before you count: list the steps of one Zap
Open the Zap you want to size and write down every step in order. Mark the first one as the trigger and each step after it as an action, a built-in tool or a branch. Note which actions are searches, because a search can count or not depending on one setting. Have your run history ready for the busiest month of the last year; Zapier's Zap history and task usage pages show what ran.
Step by step: count one run, then one month
- Step 1, count the actions: each successful action step is 1 task. Successful steps in an error handler path and steps in a sub-Zap count the same way, including the Call a Sub-Zap and Return From a Sub-Zap steps.
- Step 2, check the searches: a search action set to proceed when nothing is found counts 1 task. A search set not to proceed when nothing is found counts none.
- Step 3, add the special rates: Zapier's article lists AI by Zapier by model tier, Code by Zapier at 1 task for the standard runtime and more for extended runtime, Lead Router at 5 tasks per successful lead and Zapier MCP at 2 tasks per successful tool call.
- Step 4, multiply by runs: tasks per run times runs in your busiest month. A Zap with three actions that runs 1,000 times is 3,000 tasks. Replaying an entire Zap run counts the steps that previously succeeded again.
- Step 5, add the Zaps together and compare the total with the task tiers on Zapier's pricing page, then with other tools using the Pabbly Connect break-even test.
What does not count, and what is different
- Free steps: all triggers, Filter and Paths steps, Formatter, Delay, Looping, Sub-Zap app, Digest, Zapier Manager, Storage, and steps for Zapier Tables and Forms.
- Free runs: testing in the Zap editor, action steps that error or halt, and steps that do not run because of a filter, a path or an earlier error.
- Polling: a polling trigger can check an app more than 20 thousand times a month at a two-minute interval, and Zapier does not charge for these checks. In its example, two new leads found in 10 minutes use two tasks once they reach the CRM.
- Wording differs on the pricing page: its summary says every step in a Zap uses tasks and that rates vary, while the help article lists the free steps above. The help article is the detailed rule.
What happens when you reach your task limit
Zapier emails you when you reach the plan's limit. With pay-per-task billing on, your Zaps keep running at a higher per-task rate, and you are notified at 80% and 100% of the pay-per-task limit, which equals three times your plan's task limit. After that, runs are held until the billing cycle ends.
Without pay-per-task billing, new runs are held until the cycle resets. You can replay held runs after a reset, an upgrade or turning pay-per-task billing on. Tasks are shared across the account, so every Zap draws from the same allowance.
Test your count and compare other tools
Check the count against Zapier's task usage page for a week before you trust it. Then run the same workflow through other tools' rules. Take a form trigger with three actions. Pabbly Connect counts three tasks, because triggers and internal tools are free. Make's FAQ counts reading the incoming data as a credit, which makes four credits. n8n counts one execution however many steps. Albato counts the three steps after the trigger, and Integrately adds conditions, data modifications and searches to its task count.
Pabbly Connect vs Zapier works through this example, and the small business shortlist sorts seven tools by their counting unit.
